Back Office Management & Operations

Your business is growing. Your operations are held together by tribal knowledge and your own bandwidth.

We build the operational backbone — documented processes, managed projects, handled admin, and real onboarding — so the company can run without you holding every piece of it in your head.

Who this is for

If any of this stings, it's because it's true

Companies between 5 and 50 employees usually don't break because of strategy. They break because the plumbing never got built — and the founder became the plumbing.

  • Nothing is written down. The way things get done lives in three people's heads.
  • A new hire takes four months to become useful — because training is someone shadowing someone.
  • Projects slip because nobody owns the handoff between sales, delivery, and billing.
  • You're the founder and you're still renaming files and chasing invoices at 9pm.
  • One person goes on vacation and a whole function quietly stops.
  • You bought the project management tool. Nobody uses it the same way twice.
What's included

Eight areas, one operational backbone

SOPs, project and operations management, administrative services, workflow automation, operational efficiency, employee support, training and onboarding, and fractional financial leadership — engaged individually or as one back-office partnership.

Pillar 01

SOPs & Process Documentation

We get the business out of people's heads and onto paper — so the work survives turnover, vacations, and growth.

  • Process mapping and workflow documentation
  • Step-by-step SOPs for recurring tasks
  • A centralized process library and knowledge base
  • Ongoing SOP maintenance as the business evolves
  • Institutional knowledge captured before a key employee walks out with it
Pillar 02

Project & Operations Management

Someone senior actually owns the calendar, the handoffs, and the follow-through across your team and vendors.

  • Project planning and tracking across teams and vendors
  • Deadline and deliverable management
  • Cross-functional coordination
  • Project management tool setup and administration (Asana, ClickUp, Monday)
  • KPI tracking and recurring operations reporting
  • Vendor and contractor management
Pillar 03

Administrative Services

The $20/hour work that's eating your week, handled by people who don't need to be told twice.

  • Inbox and calendar management
  • Scheduling and meeting coordination
  • Document management and filing systems
  • Data entry and records maintenance
  • Correspondence handling
  • Client onboarding and intake coordination
  • Routine administrative coordination across vendors and internal teams
Pillar 04

Workflow Design & Automation

We map recurring work, remove unnecessary handoffs, and connect the tools your team already uses so routine tasks move faster and more consistently.

  • Mapping recurring, repeatable tasks from start to finish
  • Identifying manual handoffs that create delays or errors
  • Redesigning workflows for speed and consistency
  • Connecting project management, communication, and automation tools
  • Reducing manual re-entry, unnecessary steps, and repeated touchpoints
Pillar 05

Operations Streamlining & Efficiency

We find the friction that costs your team time, then simplify the way work gets done without disrupting what already works.

  • Operational audits for bottlenecks, redundancies, and wasted effort
  • Consolidation of overlapping tools, vendors, and subscriptions
  • Standardized workflows across people and teams
  • Clearer ownership and fewer unnecessary approvals
  • Ongoing efficiency reviews as the business grows
Pillar 06

Employee & Management Support

We create the structure managers and employees need to work clearly, consistently, and with less dependence on the founder.

  • Org structure, role clarity, and reporting lines
  • Job descriptions, interview structure, and hiring workflows
  • Management frameworks for 1:1s, delegation, and accountability
  • Employee handbooks and policy documentation
  • Performance review structures and practical templates
Pillar 07

Training & Team Onboarding

Your SOPs turned into a real ramp-up path, so new hires get productive in weeks instead of quarters.

  • New hire onboarding programs built from your SOPs
  • Training materials — guides, checklists, short video walkthroughs
  • Role-based training tracks
  • Refresher training as processes change
  • Systems and tools training for new software rollouts
Pillar 08

Financial Management & Fractional CFO

Senior financial leadership that gives owners a reliable view of cash, performance, and the decisions ahead — without a full-time executive hire.

  • 13-week cash flow models, forecasting, and runway visibility
  • Financial modeling, unit economics, and pricing analysis
  • KPI dashboards and monthly performance reviews
  • Investor and board-ready financial reporting
  • Hiring plans, controls, and 12–24 month scaling roadmaps
How it works

Audit, build, implement, maintain

01

Operations audit

We map how work actually moves through your business today — not how the org chart says it does — and name the gaps in plain language.

02

Build

We design the workflows, write the SOPs, set up the systems, and clarify team structure. You review; we do the work.

03

Implement

We roll it out with your team, run the transition, and stay on the hook until people are actually using it.

04

Ongoing support

Processes drift. We maintain and evolve the system as you hire, add services, and change tools.

FAQ

Straight answers

What's the difference between this and hiring an ops manager?

An ops manager is one person, one salary, one set of blind spots — and you're the one who has to train and manage them. With us you get a team that has already built this in dozens of businesses, at a fraction of a loaded senior salary, and the system stays yours if we ever part ways.

How long does implementation take?

The audit takes about two weeks. First SOPs and systems are usually live within 30–45 days. A full operational backbone — documentation, tooling, onboarding, reporting — typically lands in 90 days.

Do you work with our existing tools or recommend new ones?

We start with what you already pay for. If a tool genuinely can't do the job, we'll say so and explain the trade-off. We don't earn anything from software recommendations.

What if our processes change?

They will — that's the point of growing. SOP maintenance is built into every ongoing engagement, so documentation stays current instead of becoming a folder nobody opens.

Is this a one-time project or ongoing?

Either. Some clients want the audit and documentation build and then run it themselves. Most keep us on to manage and maintain it, because the system only holds if someone owns it.

Can this be combined with ONI's other business support services?

Yes. We can coordinate the operational work with other ONI business support services so projects, reporting, vendors, and internal handoffs stay connected instead of becoming separate conversations.
